Catering and Conference Services General Information

Guaranteed Attendance
In arranging private food and beverage functions, the final guaranteed attendance must be received no later than 12:00 noon three (3) business days prior to your function. This number cannot be lowered after this time. If we have not received a guarantee three business days prior to your function, you will be billed at the contracted food and beverage minimum listed in your agreement or the actual number of guests served, whichever is greater. The Hotel will prepare for 3% allowance over the number guaranteed.

All federal, state and local laws with regard to food and beverage purchases and consumption are strictly adhered to; with special emphasis on the following: All food and beverage must be purchased through the Hutton Hotel for consumption on the premises and cannot be taken off property at the conclusion of any event.

Buffet Meals
All of our buffet menus have a listed minimum attendance. Should a party of less than the required minimum wish to have a buffet, an additional surcharge will be incurred.

Split Menu Pricing
If more than one entrée is offered, the price for both entrées will be the higher priced entrée.

Deposits and Payments
A non-refundable deposit is required on all functions. Prepayment of 50% of your estimated balance is due 60 days prior to the function and the remainder will be due seven (7) days prior to the function. Any direct bill requests are at the sole discretion of the Hotel's credit department.

Service Charge and Tax
All food, beverage, and audiovisual are subject to the current service charge of 22% and applicable sales tax of 9.25%. Wine and Liquor are also subject to an additional 15% tax. Room Rental is subject to sales tax of 9.25%. All food, beverage, taxes, and service charge rates are subject to change without notice.

Room Assignments
The Hotel reserves the right to assign meeting space based on the attendance and setup requirements of each event. Meeting room assignments are subject to change.

Shipping and Receiving
All incoming packages should be addressed to your Catering or Conference Services Manager and marked with the name and date of your event. Because of limited storage space, boxes can be accepted no more than three (3) working days prior to the event. Boxes left on premises for longer than two (2) weeks after departure without shipping instructions will be discarded.

Security
The Hotel does not assume responsibility for any damage or loss of merchandise or articles left in the Hotel prior to, during, or following an event or function. Arrangements can be made for additional security of exhibits, merchandise, or articles set up for display prior to the planned event through your Catering or Conference Services Manager.

Displays and Decorations
All displays and/or decorations proposed by the Patron will be subject to the written approval of the Hotel. Absolutely no decorations or displays can be attached to walls, doors, or furniture that will result in a permanent mark.
